The Need
The Chandler, AZ Police Department required an effective central repository to store police related data, documentation, images and files and a way to quickly and efficiently search and retrieve the data once stored. This central repository and solution needed to interact seamlessly with external police systems such as remote/wireless police car data systems, high speed Kofax scanning systems and digital photography systems.

The Solution
Working together with Cobra Technologies the Chandler Police Department implemented Lotus Domino.Doc, Cobra's DocSearch, DocImport and DocRender solutions to "take a bite of out crime". Integrating seamlessly with external Kofax scanning and imaging systems Cobra's products combined with Lotus Domino.Doc provide a robust and efficient solution to meet the demanding needs of the police force and department.

Cobra's DocImport does triple duty for the department by monitoring scanned documents from a Kofax system and automatically routing them into the Domino.Doc repository including meta data which is entered at the time of scanning. In addition to monitoring the Kofax document imaging system, DocImport also ties into the digital photography Kofax system and imports high quality digital images from crime scenes into the Domino.Doc library with relevant meta data. Finally DocImport works with the wireless squad car systems to accept PDF files and meta data and quickly imports these files and data into the library for searching and storage.

Cobra's DocRender solution converts all non-high quality picture and non-PDF files into PDF format and stores the rendered result into the library for easier storage and viewing by the police department and city-wide staff.

Cobra's DocSearch product is used to quickly and efficiently search across the Domino.Doc library and present users with filtered search results for viewing. DocSearch is the primary access point for most of the city-wide staff and enables a customized search screen with meta data to find the data and documents which are relevant to the need.

The Result
By seamlessly incorporating their existing core systems with Cobra's products and Lotus Domino.Doc, the Chandler Police Department processes about 1100 documents per day into their library. There are thousands of hits through DocSearch to the Domino.Doc library and corresponding data each day and the system has become vital to document and data management within the department.
